Overview

The Parking Management module allows you to track vehicle and parking information for your building. You can quickly see who owns which car, locate the license plate numbers that correspond with your residents’ vehicles, and view assigned parking space locations. If you would like to activate or deactivate this module for your property, please email BuildingLink Support.

Vehicle Management Settings

There are two ways that vehicle information can be put into BuildingLink -- by residents and by management. If your building permits, residents may enter their own vehicle data, which will populate the Parking management module for you.


Management-level staff members can always input data into the Parking management module, while Front Desk and Maintenance-level users can have read-only access to this information. 


You can view and update Vehicle Management settings by going to the Manage tab, selecting Parking management, clicking the gear icon to the right of the title, and choosing Vehicle management settings


By default, Front Desk and Maintenance-level staff cannot view vehicle management information; Valet users can view but not edit vehicle information, and residents cannot add or edit their own vehicle data.  These settings can be changed if desired. Remember to click the Save settings button when you're done.





Updating Vehicle Information (Adding, Editing and Deleting)


To update your vehicle information, go to the Manage tab, click Parking management, and select the Vehicle management tab. You'll then see a list of all vehicles currently in the system for your building.

To add a vehicle, click the green Add Vehicle button. (Note: You must have
Management or Security Officer access to do this.) You’ll be taken to a screen where you can fill out the relevant information for the vehicle you are adding. The unit number, make, and model are required, but you have the option to input more information (such as license plate number, color, etc.).  Click the green Save button to save the entry.





If your building has a parking valet, keep in mind that the “Garage tag/ticket #” field is very useful to fill out, if applicable, as it will help with the process of calling for a car.


To edit vehicle information already in the system, click the Manage tab, then Parking management, and select the Vehicle management tab. Click on the vehicle entry whose information you need to change. The vehicle information will open in a new window, where you can edit any already-inputted fields or add new information. Be sure to click the green Save button when you are finished.


To archive a vehicle, click the Manage tab, then Parking management, and select the Vehicle management tab. Click on the vehicle entry whose information you need to archive.  Under the "Vehicle status" field, select Inactive and click Save.




Searching Vehicle Management


You can access a search panel at the top of the Parking Management page by going to the Manage tab, clicking Parking management, and selecting the Vehicle Management tab. Here, you can search for any vehicle in your database by a variety of search parameters:



If you notice a car that is not parked where it’s supposed to be, take down the license plate number and then plug it into the License plate, etc. search field. You’ll very quickly see who/which apartment that car belongs to and can then look up contact information accordingly. Or, suppose a resident reports that his/her assigned parking space is unavailable. You can first confirm that the space does belong to the resident by searching the parking location; then, search the license plate number of the car occupying the space to determine who is wrongly parked there.


Viewing Parking Spaces


When you click on the Manage tab and select Parking management, you will see a Parking spaces tab across the top of the page. This tab actually directs you to the Parking Spaces section of the Asset Manager module. From here, you can add and edit your parking spaces and indicate which apartment they are assigned to (or if they’re currently unassigned).

Using the Valet Module


If the Valet module is active for your building, you will see a Car Valet tab at the top of your Parking management page (accessed by clicking the Manage tab and then Parking management.) If you are interested in activating the valet functions for your property, please contact BuildingLink support.

From the Car Valet tab, building staff and management can input requests for vehicles, which will be received by the valet. You will also see all pending vehicle requests that the valet has not yet completed.
