Overview

The Violations module allows you to create, issue, manage, and track custom violation types for your property.

Violation Settings



Before you start using the Violations module, you can customize your Violations settings. To do so, click on the Manage tab and select Violations. Click on the Settings button to configure the Violations settings.

 

 

Violation Types


Create and customize violation types in the Violation types tab. Click Add violation type to add a new type to your list. Fill out the violation type name and description, and click the Save button to add it to your list. 



Note: You also have the option to pull the violation name and violation description into your Violation Notice Templates. See the section below for more details.



From your Violation Types list, you can click the Edit button to the right of each type to edit an existing violation type and click the Delete button to delete an existing violation type from your list.

 

  




Violation Notice Templates


Create and customize your Violation Notice Templates in the Violations notice templates tab. Click Add template to customize a new template to use. 


Fill out the template name and body of text, and use the prompted Variable Inserts where you want that content to display. 


Next, add your attachments and click the Save button to add this to your list of templates. 





From your Violations Notice Template list, you can click the Edit button to the right of each template to edit the template and click the Delete button to delete a template from your list.



Templates can be reordered to your preference by using your mouse to drag and drop to reorder how violation templates appear in the selection dropdown.

Searching and Issuing Violations



Click on the Manage tab and select Violations. Here, you can view and search for violations by unit, date range, status, violation type, and stage. To issue a new violation, click on the Add New button to log a new violation.


Next, fill out the form from top to bottom. 


Search and select the Unit Number for the new violation. 


Recipients with email addresses on file will appear in blue, and those without an email on file will appear in red. 


Select the Violation Type from your customized list by clicking the dropdown menu under Violation type.



Select the Violation Notice Template to use by clicking the dropdown menu under Violation notice.


You may select a Violation date and a Violation deadline.




Additional options to include a hearing date, a hearing outcome description, and Assess a fine can be filled out by checking each box, respectively.




Attachments up to 10MB may be added by clicking Add document and Upload image


The Subject of the notice can be customized by clicking in the field under Subject and editing the text.


The body text of the notice is automatically filled in based on the selected Violation notice template, and you can further edit the text before sending.



Click Save as a draft to save this violation log as a draft so you can continue working on it at a later time. 


Click Generate PDF to create a printable PDF copy of the violation. Click Generate PDF and send to create a printable PDF copy attached to the log, and send the notice to the intended Recipients via email




Editing and Resolving Violations



Click on the Manage tab and select Violations. Click on a violation in the list to view/edit its details.



Click on Resolved to change the status of the violation to Resolved. 


Notes can be added to the violation by typing in the Note textbox and clicking the Save button below it. 


The Activity log will show every action taken on this violation, including notices sent, status changes, and notes saved.


Additional notices can be sent by clicking Send another notice and completing the form that appears.



Viewing Violations From the Manager Dashboard and Unit Overview 



Violations will appear on the Manager Dashboard in the Violations widget. Individual violations will also appear in the specific Unit Profiles they are associated with when viewing a Unit Overview.

Violations in the GEO App


Violations can be logged from a mobile device using our GEO app. You can log a violation while offline, and when you reconnect, the app will sync, and the violations will be submitted.


Select the Violations icon on the home screen to view Violations. 




Tap the Add button to log a new violation. On the following screen, you can search and select the Unit:



 


On the following screen, you will select the Violation type and Violation notice:


Next, fill out the violation details. You can attach documents and photos saved from the device.


Tap Preview Notice to preview the notice text that will be sent.


Tap Log and generate PDF to log the violation for the Unit.


Tap Save as a draft to save a draft version, which you can return to and complete at a future time.


Open and Resolved violations can be viewed in GEO.


The Activity log is visible when selecting and viewing the details of a specific violation.
