Overview

The Shift Log is an internal communication tool for management and staff - think of it as an electronic logbook. Each Shift Log note is automatically stamped with the date, time, and name of the employee entering the note, making it easy for staff to communicate with each other across shifts.

Shift Log Settings

 

You may change Shift Log settings based on your building’s needs. To access those settings you must have Management or Security Officer authority in BuildingLink.

 

To view or change the Shift Log settings from your Dashboard click Shift Log on the upper right corner of the page and then click the gear icon in the top right corner (or click on the Settings tab and select Shift log settings).

 



Select who may search the shift log under Shift log can be searched by 

This setting allows all staff to search or to restrict searching to only Management Employee Types.

 

If you have multiple locations in your building where a log can be made you can check the box next to Allow shift logs to record by location 

 

Check the box next to Email a copy of the shift log nightly to management for an automatic email to be sent. 

Send nightly shift log with this name allows you to name the sender, as it will appear in your email inbox.

 

Send nightly shift log with this email shows the email address this message should come from. 

 

Choose the emails to receive this message under Send nightly shift log to these email addresses. 


If you only want to receive the notes marked as High Priority, check the box to the right of Include only high priority notes in the email copy.


Make sure to click Save all changes once the settings are correct.


Viewing and Entering Shift Log Notes

 

To access the Shift Log, click Dashboard on the left. Then click Shift Log on the upper right corner of the page. 

 

The notes are displayed on a clipboard on the right side of the screen. 

 


Type your note in the Add your shift note box near the bottom of the clip board.

 

If the note is specific to a unit, you may select the unit from the Search unit or name drop down menu.

 If you have Locations turned on, you may also select a location.

 

Use the High priority check box to mark as a priority, some buildings choose to use this to indicate an incident. This will add a red High Priority stamp to the note.

 

When you are finished typing your note, click the green Add Note button on the bottom left. Your note will be saved in the Shift Log, and will be viewable by building staff and management.




More Options for Entering Shift Log Notes

 

Click End of shift note to add a time-stamped dividing bar so you can easily see which notes were entered on each shift. This does not log the employee out of BuildingLink.


Sorting and Searching Shift Log Notes 

 

 

You may filter by location using the Location drop down menu at the top of the clipboard. Show high priority notes by checking the box next to Only high priority. 

 

 

 


 

You can search past notes by clicking Advanced Search. Use the filters at the top to narrow the search by Unit, text, Date Range, Employee and Location.



Click the arrow on the left to expand notes from Today, Yesterday, or the day before.
You can also export the information to a PDF or Excel using the options on the right.


 


Deleting Shift Log Notes

 

The Shift Log is a secure document; it even holds up in court! 

Non-management staff members cannot delete any Shift Log notes. 

 

Management level staff do have the ability to delete notes, but BuildingLink maintains a record of all notes, including those which have been deleted. 

 

Notes cannot be edited, so if you enter a note incorrectly you will need to add a new note. For example: “Please disregard the note entered at . . .”
