Overview

ConciergeLink is a powerful console and database that can be installed on any Windows based computer (it works especially well with a touch screen!). Once installed, the program allows staff to handle the bulk of their front desk operations without an internet connection, bullet-proofing the front desk from Internet interruptions or slow speeds. ConciergeLink handles internet connectivity and database syncing in the background, and will sync to the web version of BuildingLink when connectivity is restored - or, if there is an active internet connection during use - every 30 minutes. Functionality


 

 

Before we cover each section, let's take a look at two quick "short-cut" tools that are accessible through any tab.

 

* Quick Search: This works the exact same way as the Quick Search option in the web version of BuildingLink, quickly allowing you to view the Unit Overview for any particular unit. 

 

 

 

The Add Button is exclusive to ConciergeLink. It allows you to quickly add an event, instruction, maintenance request, shift log note, incident report or amenity reservation from any screen.

 

 


Dashboard

 

The ConciergeLink Dashboard is a quick way to view open events/packages, management instructions for staff, active scrolling announcements, and weather. It also displays the percentage of residents who have photos and a weekly graph of events entered. You can customize your ConciergeLink Dashboard by clicking on Widgets Configuration; this will allow you to decide which widgets you wish to display or hide.  

 

 


Packages

 

The Packages tab in ConciergeLink will allow you to use the Event Log functionality (tracking packages and other physical items that are coming in and out of the building). Clicking on the tab will display the Open Events Grid, along with the Add Event, Add Multiple Events and Close Multiple Events buttons. You can also print open events from this screen and search the Event Log. Just like in the web-version of BuildingLink, events can be closed by clicking directly on the event in question. You can also use barcode shortcuts to open and close events. 

 


Instructions

 

The Instructions tab in ConciergeLink will allow you to use the Instructions functionality within BuildingLink (tracking permission-to-enter instructions and guest authorizations.) Clicking on this tab will display the Current Instructions grid, along with the Add Instruction button. You can also print instructions from this screen and search all instructions. To display newly-added instructions and/or instructions with a start-date in the future, use the "Newly Added" and 'Future Instructions" tabs.

 


Units

 

The Units tab in ConciergeLink will display a list of all units in BuildingLink. You can change the format of this page as well as decide whether or not to view the company/family name by clicking the Settings icon on the upper right. 

 

 

You can also click on any unit to be taken to the Unit Overview page, to easily see whether a particular unit has a package, for example.

 

 

 


Shift Notes

 

The Shift Notes tab in ConciergeLink will allow you to use the Shift Log functionality. All notes entered within the past 48 hours will display on the left-hand side of the page, along with a Search button to view older notes. You can add notes on the right-hand side of the page. 

 


Incident Reports

 

The Incident Reports tab in ConciergeLink will allow you to use the Incident Reports functionality within BuildingLink. Clicking into this tab will allow you to create new incident reports or search for prior reports.

 

 


Reservations

 

The Reservations tab in ConciergeLink will allow you to use the Amenity Reservations functionality in Buildinglink. Clicking into this tab allows you to add new reservations or search for prior reservations.

 

 


 

As soon as you perform an action in ConciergeLink, that action will immediately be reflected in the web-version of BuildingLink. Actions performed via the web version of BuildingLink will be reflected in ConciergeLink every time ConciergeLink syncs (every 30 minutes, or every time a new user logs in.) If you know that actions were performed via the web-version of BuildingLink, you can also use the Sync button to manually sync ConciergeLink so that all of the information is current. 

 

 


Voice-Recognition for Packages

 

We have built in some voice-recognition functionality to the package section of ConciergeLink!

 

To use voice-recognition, you will need to make sure you have a microphone connected to your computer. A headset microphone is recommended, so that ConciergeLink will hear only your voice and ignore others that may be speaking in the lobby area. For best results, we also recommend using the Windows voice recognition training program on your computer - this will help ConciergeLink understand what you are saying. 

 

To find your voice recognition program:

 

Windows 7: From your Start Menu, select Control Panel. Next, select "Speech Recognition." Finally, select "Train your computer to better understand you."

 

Windows 8: Use the search feature to search for "Speech Recognition." Then select "Train your computer to better understand you."  

 

 

Once you've trained your computer and plugged in your microphone, simply click on the Packages tab, select Add Event and then click on the microphone icon in the top right corner of ConciergeLink. This will prompt the system to start listening to you. Clicking on any of the fields will also prompt the system to start listening for that specific field. For example, if you click on "Type," the system will be listening for "Fedex, UPS, DHL" etc. Once you click on your first field (Unit #) and speak the appropriate unit, the system will select that unit and then automatically move down to the "Type" field so that you can begin speaking the type. Alternatively, you can click on the Settings icon in the top right hand corner of ConciergeLink, select Voice Recognition Options, and select "Full Package" if you'd like to be able to say something like "Record a new Fedex for 2A stored in Drawer 1." Keep in mind that you will still have to click the Add Event button before you begin speaking.
