Recording an Event
To record a new event, go to the Front desk tab and select Event log.
Click Record event in the upper right corner.
Fill out the information in the pop-up window, including:
Unit Number
Event Type
Who to Notify
We recommend you include any notes, such as the tracking number or a description of the package. If the package has a barcode, you may scan the barcode into the "Comments" section to find it easily in the future.
You may also choose a location if your building has locations turned on.
Then click Save event.
Please Note: For units with a first and second-level occupant, the second-level occupant will receive the notification. BuildingLink will assume the first-level occupant is an off-site owner and will not need to receive those notifications. These settings can be changed in the specific Event Types Edit screen.
Depending on the Event Type settings, you may need to add more information, such as a signature, photo, or ID scan. These options will appear when the Event Type is selected.
Recording Multiple Events
You can record a group of events of the same type at once. This is helpful when you receive large package deliveries or a group of visitors.
Click Record multiple events in the upper right corner of the Event Log.
Select the Event Type you will be recording. Keep in mind: ALL events entered will be of this Event Type.
Once the Event Type is selected, you may enter the units, comment, and who to notify. When you are done, click Save event.
Viewing the Open-Event Grid
You can use the Open-Event Grid to find open events. The Open-Event Grid is found by going to the Front desk tab and selecting Event log.
You may use the options at the top of the Open-Event Grid to change the look.
Select how the information is listed in the boxes using the "One box..." options at the top of the page.
Toggle the Company/Family name, or the Event Type on and off using the checkboxes to the right of the "One box..." options.
You may change the size of the boxes in the grid using the "Grid size" option on the right.
You may filter by Event type, Group, or Location using the drop-down menus to the right of the Search.
Sending Email Reminders
You may send reminders to residents who have packages waiting for more than a day. From the Event Log, click Send email reminders.
If locations are turned on, you may filter by location. Use the drop-down menu to select the number of Days unclaimed.
Click Send reminder to send the emails.
Once sent, you will see a confirmation. You may then choose Send more reminders, or Back to the event grid.
After the reminder emails are sent. An automated note will be added to the Shift Log.
This will include the date, time, name of the employee who sent the reminder and the details of the reminder.
Closing an Event
You may close an event once the task has been completed. For example, if a resident picks up a package or if a key is returned. You may close the event in one of two ways:
1. Through the Unit Overview.
Search for the unit in the Quick Search in the upper left of your BuildingLink account.
Click the event to close in the Events section.
Change the "Event status" to Close, add a closing comment, such as the recipient's name, and capture a signature, if required. Click Save event to update the record.
2. Through the Event Log screen
Go to the Front desk tab and select Event log. You will see the Open-Event Grid, click the event you would like to close.
You may also scan the barcode at this time if the tracking number was scanned into the event previously. Change the "Event status" to Closed, enter any required information, and click Save event.
Closing Multiple Events
You may want to close out more than one event at once, for example, if a resident has multiple packages waiting for them in the mail room.
There are two ways to close multiple events at once.
1. Click any of the resident’s items from the Open-Event Grid.
If the resident has more than one item in the system, you will find a Close Multiple Events button at the bottom left of the window.
2. Click Close multiple events from the Event Log screen.
Either option will take you to the Close Multiple Events screen. Use the "Event type" drop-down to filter by the type of event, or use the "Unit number" filter to search events by Unit.
Next, you will see a list of all the open events based on the filters.
If you need to close out all of these items, click the checkbox at the top of the list.
If only some of the items need to be closed, check off the items that should be closed in this transaction.
If the barcode was scanned into the" Comments" section when opening the event, you may also scan the barcode on this screen to check off the packages or use the barcode shortcuts to quickly close out the correct items (for more information on the barcode shortcuts see the later section of this article).
Enter a closing comment and any authorizations, such as a signature, if applicable. Click Close at the bottom of the window to close the events.
Barcode Shortcuts
For items with barcodes, our barcode shortcuts provide a quick and easy way to open and close packages, automatically capturing the tracking number in both the opening and closing comments. Please see the video below for an explanation of our barcode shortcuts.
Searching the Event Log
The Event Log will keep a permanent history of all events, open and closed.
To search the event log, go to the Front desk tab and select Event log. Next, click the Advanced search button.
Use the filters at the top of the page to narrow down the search.
Contactless Package Pickup
The Contactless Package Pickup (CPP) feature allows residents to authorize the release of any items held in the property’s possession simply by indicating this in BuildingLink’s resident mobile app or with staff authorization. This feature can be an alternative to or used alongside the signature pad or camera if you’re currently utilizing those devices. Residents can view any items being held for them by the property in the resident mobile app.
To utilize the CPP feature at your property, a user with Management or Security Officer authority can enable this setting by clicking the gear icon at the top of the Event Log and clicking on Event types.
The CPP enhancement allows residents to tap Authorize Release or Authorize All for Release below any item(s) they wish to pick up.
Residents will see a disclaimer omitting the property of any liability and must confirm to finalize authorization of any items.
Confirmation that the resident has authorized an item or items for release along with a date and time stamp will be visible to the staff.
If the resident has not authorized the item and is unable to do so through the resident mobile app, the resident can request that the staff member indicate approval by clicking on the Authorize on Resident’s Behalf button.
If your property is currently using the signature pad or camera to capture authorization, you can keep those options active if you prefer to have an alternative way for the residents to claim their items.
Event Log FAQ
How should I record events that don't have to do with a specific Unit #?
When logging an item for a common area or non-resident unit (Ex. A package for a staff member or a contractor who is working in a common area), use the Management unit.
My event will not save without a signature, but my property policy does not require that I obtain a signature for this event type. What do I do?
Anyone with Management or Security Officer BuildingLink authority at your property can set the signature to optional for specific event types in Event Types Settings. If you cannot save an event and are not required to obtain a signature, you can mark an "X" on the signature pad to save the event until your settings are corrected.
