Now that we’ve completed our kickoff call, we’re ready to move on to finalizing the backend settings of your BuildingLink site. Please come prepared to discuss the topics below to ensure we complete setup in an efficient and effective manner. Don’t worry if you don’t have answers to all of these questions. We’ll be able to determine the best path forward together during the setup call.

General Setup Questions

  • Who should be the overall main point of contact for residents if they have questions about any automated notifications sent via the BuildingLink system? Examples- package notifications, confirmation that a maintenance request was successfully submitted.
  • Do you want to be notified if a resident’s contact information is changed?
  • Will the board be using BuildingLink to access resident contact information or monitor maintenance activity?

Maintenance

  • Self-serve maintenance module: can owners/shareholders enter requests? What about renters?
  • Do you have an emergency and/or after hours contact for maintenance issues?
  • In-unit maintenance or common areas only?

Reservations and Amenities

  • Amenities- what are the policies, procedures, rules of use, or limitations? 
  • Will requests require approval?

Building Directory

  1. Who are the main points of contact for residents to reach out to?
  2. Do you want to include a blind email button for residents to use?

Employees

  • Who needs access to the management portal?
  • What should their authority level be set to?
  • What are their email addresses?

Events

  • Do you need to track packages, outgoing items, keys, people, loaner items
  • Do you store packages in multiple locations?
  • What equipment will you use- barcode scanners, signature pad, mobile app, etc.?
  • Are signatures required for residents picking up packages?

Front Desk Instructions (Visitor Access & Guest Authorization)

  • Can residents enter their own instructions?
  • Can front desk staff do so on their behalf?

Resident Engagement

  • Who will approve bulletin board postings?
  • Do you want to allow residents to opt-in to share their contact information with neighbors?
  • Do you want residents to be able to submit their pet information to a resident-facing pet registry and to management for tracking purposes?
