Overview


The Authorized-Computers functionality lets Managers and Security Officers restrict specific employees or employee-types (i.e. Front Desk users) to only be able to access BuildingLink from specific computers designated as Authorized. Managers and Security Officers have the authority to decide which computers are authorized for restricted users.

Restricting or Allowing Specific Users


By default, ALL employees can log into any computer, so there is no need to set “allow” rules unless you wish to restrict all users of a specific type (i.e. Front Desk) except for one or two specific Front Desk employees. In that case, you would set a “restrict” rule for all Front Desk Users, and a second rule to permit a specific Front Desk User (i.e. David Jones). Individual person permissions always override user-type permissions.

 

To set login restrictions and rules, click on Settings and select Authorized Computers.
 

 


You’ll be taken to a screen that shows which users or user-types are subject to log-in restrictions or rules. To add a new restriction or allowance, click the “+” sign next to Add New Record.

 

 

Next, select the specific employee or user type you wish to restrict or allow. Keep in mind that you do NOT need to “allow” employees unless your purpose is to override user-type restrictions. By default, all employees can log in to any computer unless you add a restriction rule. After selecting the specific Employee or User Type you wish to restrict or allow, choose the appropriate permission setting. Click Save.



Authorizing Computers


After you’ve restricted specific employees or user types, you’ll need to authorize the computers that would permit those restricted staff members to access BuildingLink. If you are logged into BuildingLink on the computer you wish to authorize, simply click on the Change Computer Settings button on the top of the page.


 

You’ll be taken to a page where you can provide a nickname for the computer so it is easily identified, and select to “Authorize” the computer.



You can also authorize computers remotely by clicking on Settings and selecting Authorized Computers. The second box, Set which Computers are designed as ‘Authorized’ will display a list of all computers on which staff log-ins have been attempted within the past hour. Simply click on Change Computer Settings next to the computer you wish to authorize.



Easily Identifying Computers


If a staff member is trying to log in to a specific computer and is unable to because it has not yet been authorized, or the “authorization” status has been reset by clearing cookies, he/she can provide a Management or Security Officer user with the Computer ID#. This is displayed on the error message restricted staff members receive when attempting to log in to computers that are not authorized. The staff member also has the ability to give the computer a nickname so that Managers/Security Officers can easily find it and authorize it.



Viewing/Editing Existing “Restrict” and “Allow” Log-in Rules


To view or change the restrictions or allowances currently active for your building, click on Settings and select Authorized Computers. The Set which Employees or Employee Types are subject to the ‘Authorized Computers Only’ login restrictions box will display a list of all users or user-types who are subject to restrictions or allowances. Click Edit next to the rule you wish to change. If you wish to completely remove the rule, click Delete.



Deauthorizing Computers


If you’ve authorized a computer and wish to remove that authorization, you can “deauthorize” it. If you are logged into BuildingLink on the computer you wish to “deauthorize,” simply click on the Change Computer Settings button on the top of the page and select Deauthorize.



 

You can also deauthorize computers remotely by clicking on Settings and selecting Authorized Computers.


 

The second box Set which Computers are designed as 'Authorized' will display all computers on which staff log-ins have been attempted within the past hour. Simply click Change Computer Settings next to the computer you wish to deauthorize.
