Overview

In this article you'll find information on how to configure your KeyLink settings in BuildingLink. By default you must be a  security officer level user to configure KeyLink settings in BuildingLink but you can give this access to other employees. Once your system is configured please see our KeyLink Software Installation Guide article. The first part of this video will show you how to configure your KeyLink Settings in BuildingLink. The second part will show you how to register fingerprints, how to select your peripheral and backup devices, and how to configure your drawer(s) in the KeyLink application after installation. You can find detailed instructions with screenshots on all these topics in different articles throughout our KeyLink Help Section. 



To access your settings to log in to the BuiIdingLink website. Next click the Other tab on the left, click KeyLink. You will see the Map of Drawers and can access the other KeyLink settings options (detailed below) using the links at the top of the page. 



Below you will find a list of KeyLink settings along with a summary of their functionality.

  • Map of Drawers: On this page you will see the locations of all the keys in the drawer and is updated whenever you remove, register, or add a key as long as the system is online. 
  • Removal Requests: On this page you can search for key removal requests by the removal reason during a specific time frame.
  • Activity Log: On this page you can search all KeyLink activity (key returned, drawer opened, Key unregistered, etc.) during a specific time frame. 
  • Permissions: On this page you can set the KeyLink Roles for each of your employees.(configuration required)   
  • System Config: On this page you will see your KeyLink Drawer(s) unique Id and serial number.
  • Removal Reasons: On this page you can set the "Removal Reasons" that show on your KeyLink screen when you are requesting a key removal. (configuration required)
  • Alert Types: On this page you can see the default alert settings for your system.
  • Notifications: On this page you can set the notification options for residents and/or management when keys are removed or returned to your KeyLink system. (configuration recommended) 

Configure Permissions

On this page you can assign the permissions (KeyLink Roles) for the employee if applicable. These roles control how much of KeyLink the employee can access. The roles do not reflect actual job titles at the building. You can update/modify these role(s) as needed.




Below is a brief description of the four KeyLink Roles:

 

Admin:


  • Can do all actions: Remove/Return Keys, Register/Unregister Keys, and View Reports.
  • Can view and set up KeyLink Roles for employees.
  • Can view and configure the Removal Reasons, Alert Types, and Notifications settings in the KeyLink Module within BuildingLink.
  • Can view and configure the admin settings (Device Configuration/Diagnostics, Drawer Configuration, etc.) and reports on the KeyLink software application.

Remove/Return Keys:

  • Can remove key(s) from KeyLink as requested by residents, guests, contractors, management, etc.
  • Can return key(s) to KeyLink.

Register/Unregister Keys:

  • Can register keys to KeyLink at the initial stage of setting up the key system or throughout the life of the system.
  • Can unregister keys from KeyLink. For example, if the key was registered to the wrong unit or if a damaged SmartTag needs to be replaced and a new tag needs to be registered to the unit.


View Reports:

  • Can view the Map of Drawers (necessary to view in case of a power outage or a drawer failure to access keys manually).



To add or update an employee's role(s) click Edit on their row. Next check off the role(s) and system(s) you want them to have access to and click Update.




Configure Removal Reasons


On this page you can set the "Removal Reasons" that show on your KeyLink screen when you are requesting a key removal. Changes made here will appear in your KeyLink program after the next KeyLink Sync (automatically each hour, or when you force a sync manually).


Click the Deactivate link next to any active reason to remove that reason from your KeyLink system screen. Click the Activate link next to any inactive reason to add that reason to your KeyLink system.


 To add a new removal reason,click the Add Reason button, type the new reason then click Add.



Configure Notifications


On this page you can set the notification options for residents when a key for their unit is removed or returned. You can also set notification options for management when a key registered to the Management Unit is removed or returned. Changes made here will appear in your KeyLink program after the next KeyLink Sync(automatically each hour, or when you force a sync manually). 


Note: To avoid unwanted notifications to residents/management, these settings 

should not be turned on until you have finished the initial registration of all your keys and completed testing your system.
