What are Resident Passports?
Resident passports are attractive laminated plastic cards (30-mil thickness) that display information and graphics of your choosing about your building and your individual residents. If you have the Resident ID mobile module enabled, resident passports can be fully electronic and do not need to be printed. They can simply be displayed via the resident app when a resident taps on the Resident ID module.
What can Resident Passports be used for?
Resident Passports can be used in many creative ways:

- Pool Passes
- Gym/Fitness Center Passes
- “Perk” cards (for participation in negotiated discount programs for local area vendors - or to be used with vendors listed in the Offers section of BuildingLink)

How would I go about designing my Resident Passport cards?
You can first browse our gallery of select card styles here, and then our graphics department will work with you to incorporate your preferences, images, colors, and desired data fields. We will design a card template based on your instructions, then submit it for your approval prior to printing.
How would I go about printing my Resident Passport cards?
Passports can either be printed locally at your building on one of several ID-card printers we support (click here for a list of printers), or BuildingLink can print and ship them from our office for a fee.

Local card printing has some noteworthy advantages, and is the option we recommend for most of our new clients who are interested in resident passports. You just need to download (at no charge) our proprietary “CardLink by BuildingLink” software which talks to your BuildingLink database and to your printer, and makes the actual printing simple and quick. By printing the cards on-site at your building, management gains greater control and serviceability, and residents can receive their cards immediately upon moving in or signing a lease.
How much does Local Printing cost?
The software to print locally and the professional design of your cards come at no additional cost to BuildingLink subscribers. There is a one-time cost in purchasing a quality laminate card printer ($2,500 - $5,000, depending on the model), as well as the purchase of your own printing supplies (blank cards and printer ribbons). This breaks down to a printing cost of around $1/card which greatly reduces per-card costs and adds considerable convenience. Supplies can be obtained through our recommended vendor, Idesco. Tell me more about Remote Card Printing by BuildingLink!
For clients who do not want to purchase a printer, the second option we offer is to have your cards printed by us at our New York office. After the printing of your initial batch, we ship any subsequent cards out every two weeks, so there is a small waiting period when using this option.
How much does Remote Printing cost?
As with local printing, the layout and design of your cards comes at no additional cost. We charge $3.00 per card for the first 30 days of printing and $5.00 per card after that. This fee includes shipping costs.
The cumulative effects of the higher per-card fee for the Remote Printing option is something to consider compared with the one-time printer investment required for local printing.
What data can I put on my Resident Passports?
You can choose from the following elements:
- Building name
- Building photo and/or logo
- Background image
- Resident name
- Resident apt/unit#
- Resident photo
- Lease expiration date
- The words “Resident Passport” or any other static text
- Address and contact info for building or management company (typically placed on the back side)
- Resident-specific barcode identifier (typically placed on the back side)
How does the CardLink printing program get the data for printing each card?
Our card printing program (whether printing locally or remotely) gets the data for printing each of your cards directly from your BuildingLink database, via the internet. Remember that we can only print pieces of information stored in your site, so if your card design includes things like resident photos, move-in dates, lease expiration dates, or owner/sublet /board member statuses, you'll need to make sure to enter or upload that information into BuildingLink.
Can resident passports be displayed via the Resident App?
Yes! Provided your property has both Resident Passports and the Resident ID mobile module enabled, residents can display their resident passport by tapping on the Resident ID module inside the BuildingLink Resident App.
How do I add Resident photos?
If you’d like to print resident photos on your Resident Passports, make sure occupants have a photo saved in the Official Resident Photo section of their profile. Instructions on how to add photos can be found here. Only employees can upload an Official Resident Photo.
How can I quickly identify which occupants are missing photos in the BuildingLink database?
You can find all occupants with missing photos through the Resident Directory or the Site Activity Report. If the card design you choose includes a photo, a Resident Passport will not be printed for any resident missing a photo until a photo has been uploaded.
How can I reprint or deactivate a Resident Passport card?
You can deactivate a Resident Passport card, or flag a lost card to be reprinted, via the BuildingLink webpage by going to the "Other" tab, then "Resident Passports" and searching for the resident, Or, in an emergency, you can contact BuildingLink Support at 877-501-7117 or support@buildinglink.com, and we can reprint the card for you and ship it out.
How are move ins/outs handled with Resident Passports?
When a new resident is moved in and all the required data is saved into their BuildingLink profile, the CardLink program will automatically generate a new card for them and place it into the print queue, for either Local or Remote printing. Once residents move out and are deactivated in the BuildingLink database, their cards are automatically deactivated as well.
How can I use Resident Passports with my access control system?
If your building has an access control system that utilizes RFID “proxcards” or “smartcards,” you can usually obtain blank card. You can then print your Resident Passports for each individual onto the blank prox cards assigned to them. For properties that have an access control system based on barcodes, or on encoded magnetic stripe IDs, the CardLink program supports both barcode printing and magnetic swipe encoding. However, please note that you must choose the Local Printing option (print your own cards on-site) in order to integrate with your access control system. We do not offer a remote printing option for access control cards.

Due to the program coding, CardLink will only work with the printers listed below. A printer capable of double sided printing is required even you are printing a single sided card.

The Resident ID on the BuildingLink Resident App
OverviewAll properties have access to a free resident ID on the BuildingLink Resident app just by adding an official resident photo to the unit profile. |
If your property has a Resident Passport, the resident app will display the designed passport. If your property does not have a passport designed, by default, the resident ID will display the resident name, unit number, building name and management company. Unfortunately, It is not possible to add additional fields to the default Resident ID.
Enabling the Resident ID on the BuildingLink Resident App
The Resident ID can be enabled or disabled by going to the Settings tab, then Design Center, then Mobile Apps.
From Mobile Apps, select Resident App, then click Edit to the right of the Resident ID, there you will then have the option to make the ID "Active" or "Inactive" for all residents.
