Overview

BuildingLink is introducing a new self-service option that allows residents to restore email delivery if their email address has been automatically suppressed.

An email address may be suppressed when a previous BuildingLink email bounced or was marked as spam. When this happens, residents may stop receiving important BuildingLink communications, including package notifications, key updates, bulletin board postings, emails from their property management team, and password reset messages.

With this update, affected residents can confirm that they would like to continue receiving BuildingLink emails and restore delivery themselves, without needing to contact their property team or BuildingLink Support.

What's changing?

Sometimes our email system stops delivering to a resident's email address. This usually happens for one of two reasons: an earlier email to them bounced (a full inbox, a typo in the address, a strict company mail filter), or someone marked a BuildingLink email as spam — often by accident, or by clicking "junk" instead of "delete."

When that happens, delivery to that address gets suppressed, or paused automatically. The resident stops receiving BuildingLink emails like package alerts, key updates, bulletin board postings, and password resets.  Today, the only way to turn notifications back on is for a BuildingLink employee to do it manually.

Starting soon, residents in that situation will get a one-time notice sent through a separate email channel. That email will include a confirmation link they can optionally click to turn their BuildingLink emails back on immediately.  They won't need to login, complete a form, or wait on anyone else to fix it for them.

Why we're doing this?

Today a resident who stops getting BuildingLink emails has to notice the problem, tell someone, and then wait for it to be resolved. This closes that gap: they can restore delivery themselves, the moment they see the notice. That should also cut down on the "I'm not getting my BuildingLink emails" questions your front desk fields. Once a resident confirms, BuildingLink email delivery resumes.

What residents will see?

We're sending residents their own explanation of this change in advance (a copy is attached). In short, it tells them:

- Why some emails may not be reaching them
- How to recognize the legitimate confirmation email if they get one
- How to turn their emails back on with one click
- How to help prevent it from happening again (adding notify@buildinglink.com and notify@us1.buildinglink.com to their contacts, checking spam folders, and marking BuildingLink emails as "not spam" rather than deleting them)

What this means for you?

No action is required on your part — this is fully automated. A few things worth knowing, though:
- If a resident asks you about a "BuildingLink" email asking them to confirm their address, you can reassure them it's legitimate. It will never ask for a password, payment information, or other personal details.
- If a resident confirms but still isn't receiving emails after a little while, let us know so we can take a closer look.

Timeline

This system will be put in place in the upcoming weeks.  These opt-in emails will only be sent to users that have been removed from BuildingLink emails and notifications for the reasons listed above, which means that users will only receive this communication when they need it.  This messaging will not be sent to users that are appropriately receiving BuildingLink emails.

The message that residents will receive is below.

"If you've noticed that you're missing certain BuildingLink emails including package alerts, key updates, bulletin board postings, or even password reset messages, your email address may be blocked from receiving BuildingLink emails. The good news: you can fix this yourself in just a few clicks, with no need to contact Support.

What does this mean?

Our email provider automatically blocks delivery to email addresses that have previously:
- Been marked as spam by your email provider, or
- Bounced (your mailbox was unavailable or rejected the message)

This is a standard email-industry safeguard. It protects overall email deliverability and helps make sure messages keep reaching everyone else on the platform.

What emails are affected?

While your address is suppressed, you may not receive BuildingLink notifications such as:
- Automatic notifications from property-related services sent through the BuildingLink platform (package notifications, key updates, bulletin board postings, front desk instructions, etc.)
- Manually sent emails from your property management team
- Password reset emails

How will I know if this is happening to me?

If BuildingLink detects that your email address is on the suppression list, we'll send you a one-time notification email from a separate, trusted email service (not the email channel that was blocked). This email will:
- Let you know your address is currently blocked/suppressed
- Include a simple confirmation link so you can opt back in
- Explain next steps

You don't need to log in to confirm, just click the link in the email.

How do I fix it?

1. Open the notification email you received.

2. Click the confirmation link.

3.You'll see a confirmation page letting you know your email address has been removed from the suppression list.

That's it. No forms, no login, and no need to reach out to Support. Delivery typically resumes shortly after you confirm.

How can I make sure this doesn't happen again?

To help keep BuildingLink emails landing in your inbox going forward, we recommend:
- Adding notify@buildinglink.com and notify.us1@buildinglink.com to your contacts or address book
- Checking your spam or junk folder for any past BuildingLink emails and marking them "Not Spam"

Is this email legitimate?

Yes. These notifications come from BuildingLink's trusted messaging provider and will only ever ask you to confirm that you'd like to keep receiving BuildingLink emails -- they will never ask for your password, payment information, or other personal details. If you're ever unsure whether a BuildingLink email is genuine, you can always reach out to your property's front desk or BuildingLink Support to confirm before clicking any links.

Still not receiving emails after confirming?
